Terms of Service
Effective date: 1 October 2026
1. Agreement
These Terms of Service ("Terms") govern your access to and use of Approvale, a software service operated by Rafał Migda – Lore Media.
By creating an account, accessing or using Approvale, you agree to these Terms and acknowledge our Privacy Policy.
If you are using Approvale on behalf of a company or other organization, you represent that you have authority to accept these Terms on its behalf. In that case, "you" and "your" refer to that organization.

These Terms are governed by the laws of Poland, subject to any mandatory consumer protection rights that may apply to you.
2. The Service
Approvale is a software service that allows customers to connect supported form providers, currently Typeform, and create workflows for reviewing and approving form submissions.
Depending on the plan and features available, Approvale may provide:
- form and integration management
- submission management
- approval workflows
- submission statuses
- comments
- approval and rejection actions
- approval history
- email notifications
- email automations
- other related functionality introduced from time to time
We may add, modify, suspend or remove features from Approvale as the service develops.
3. Eligibility
You must be legally capable of entering into a binding agreement to use Approvale.
If you are using Approvale on behalf of an organization, you confirm that you have the authority to bind that organization to these Terms.
Approvale is intended primarily for business and professional use.
4. Accounts
To use certain features of Approvale, you must create an account.
You agree to:
- provide accurate and complete registration information
- keep your account information up to date
- use a valid email address
- keep your login credentials confidential
- take reasonable steps to prevent unauthorized access to your account
- notify us promptly if you believe your account has been compromised
You are responsible for activity performed through your account, except where unauthorized activity results from circumstances outside your reasonable control.
We may require email verification before allowing full access to certain features.
You may not create an account using false information or impersonate another person or organization.
5. Acceptable Use
You may use Approvale only in compliance with these Terms and applicable law.
You must not:
- use Approvale for unlawful purposes
- upload or process content that you do not have the right to process
- violate another person's privacy or rights
- attempt to gain unauthorized access to Approvale or another user's account
- attempt to access data belonging to another customer
- bypass authentication, security or access controls
- interfere with or disrupt the operation of the service
- introduce malware, malicious code or other harmful material
- reverse engineer, decompile or attempt to extract source code from Approvale, except where such restriction is prohibited by applicable law
- use Approvale to conduct security testing or penetration testing without our prior written authorization
- use the service to send unlawful, deceptive or unsolicited communications
- use Approvale in a way that could damage the service, infrastructure or other users
- use automated systems to abuse, overload or scrape the service
- attempt to circumvent usage limits or other technical restrictions
We may investigate suspected violations and take appropriate action where reasonably necessary to protect the service, users or third parties.
6. Customer Content
You retain all rights, title and interest in content that you submit to or process through Approvale ("Customer Content").
Customer Content may include:
- form submissions
- Typeform responses
- workflow information
- comments
- attachments
- configuration data
- other information submitted or stored by you
You grant Approvale a limited, non-exclusive, worldwide license to host, store, reproduce, transmit and otherwise process Customer Content only as necessary to:
- provide the Approvale service
- operate your workflows
- perform actions requested by you
- provide customer support
- maintain and secure the service
- prevent abuse
- comply with legal obligations
We do not acquire ownership of your Customer Content through your use of Approvale.
You are responsible for ensuring that you have all rights, permissions and legal bases necessary to collect, upload and process Customer Content through Approvale.
7. Personal Data
Where you use Approvale to process personal data belonging to your customers, employees, applicants, contractors or other individuals, you are responsible for ensuring that such processing complies with applicable data protection law.
This includes ensuring that:
- you have an appropriate legal basis for processing the data
- required privacy notices are provided
- required consents are obtained where applicable
- you have the necessary rights to transfer the data to Approvale
- your use of Typeform and Approvale is properly configured
Where Approvale processes personal data on your behalf, the applicable Data Processing Agreement (DPA) forms part of the agreement between you and Approvale.
Our Privacy Policy describes how we process personal data relating to users of the Approvale service.
8. Typeform and Third-Party Services
Approvale currently integrates with third-party services, including Typeform.
You authorize Approvale to access and process information from connected third-party services according to the permissions and credentials you provide.
Your use of third-party services is also governed by their own terms and policies.
We are not responsible for:
- third-party service outages
- changes to third-party APIs
- changes to third-party pricing
- changes to third-party terms
- changes to third-party functionality
- third-party data processing outside Approvale's control
- loss of functionality caused by a third-party service
If a third-party provider changes or removes an API or integration, some Approvale functionality may become unavailable or require modification.
9. Plans and Billing
Approvale may offer free and paid plans.
Available plans, features and pricing are described on the Approvale website or within the application.
Paid plans
Where paid plans are available, you agree to pay the applicable fees displayed at the time of purchase.
Prices may be displayed exclusive or inclusive of applicable taxes depending on the customer's location and the applicable billing configuration.
Applicable VAT or other taxes may be added where required by law.
Payment processing
Payments may be processed through Paddle or another payment provider made available by Approvale.
Payment processing is subject to the applicable payment provider's terms and policies.
Where Paddle is used, Paddle may act as the payment processor, merchant of record or otherwise provide payment and billing services depending on the applicable transaction structure.
Subscription plans
If a subscription plan is offered, the applicable pricing page or checkout will specify:
- billing frequency
- subscription price
- applicable taxes
- renewal terms
- cancellation terms
Where applicable, subscriptions renew automatically until cancelled.
Cancellation
You may cancel a paid subscription according to the cancellation mechanism provided in the Approvale application or checkout.
Cancellation normally prevents future renewal but does not automatically create a refund for a period that has already been paid, unless required by applicable law or otherwise stated at the time of purchase.
Refunds
Refunds are handled according to applicable law and the terms presented at the time of purchase.
Nothing in these Terms limits mandatory consumer rights that cannot legally be excluded.
10. Free Plans and Trials
Approvale may offer free plans, free trials or promotional access.
We may change, limit or discontinue free plans and trials at any time, subject to applicable law.
Free plans may have limitations such as:
- number of connected forms
- number of workflows
- number of approvers
- number of submissions
- email or automation functionality
- storage limits
- other usage limits
The applicable limitations are displayed in the Approvale application or pricing page.
Unless otherwise stated, free plans do not create a commitment to provide unlimited or permanent access to the service.
11. Availability
We aim to provide a reliable service but do not guarantee that Approvale will be:
- available at all times
- uninterrupted
- error-free
- compatible with every device or third-party service
- available without maintenance or temporary downtime
We may temporarily suspend access to the service for:
- maintenance
- upgrades
- security reasons
- infrastructure failures
- emergency situations
- legal or regulatory requirements
- circumstances outside our reasonable control
Where reasonably possible, we will attempt to minimize the impact of planned maintenance.
12. Beta Features
Some Approvale features may be identified as beta, experimental, preview or otherwise not generally available.
Beta features may:
- contain bugs
- change without notice
- have limited availability
- be removed at any time
- not be covered by the same availability expectations as generally available features
You use beta features at your own risk.
13. Intellectual Property
Approvale and all related intellectual property remain the property of Rafał Migda – Lore Media or its licensors.
This includes:
- Approvale software
- source code
- application design
- user interface
- branding
- logos
- trademarks
- documentation
- website content
- product concepts and functionality
Except for the limited right to use Approvale according to these Terms, no rights are transferred to you.
You may not copy, modify, distribute, sell, sublicense or commercially exploit Approvale or its underlying technology except as expressly permitted by these Terms or applicable law.
You retain ownership of your Customer Content.
14. Feedback
If you provide suggestions, ideas, feature requests or other feedback regarding Approvale, you grant us a non-exclusive, worldwide, royalty-free right to use that feedback to improve and develop the service.
We are not required to compensate you for feedback or to implement any particular suggestion.
15. Confidentiality
Each party may receive confidential information from the other party in connection with the use of Approvale.
Each party agrees to use reasonable measures to protect confidential information and to use it only for purposes related to the business relationship.
Confidential information does not include information that:
- is publicly available without breach of an obligation
- was already lawfully known
- is independently developed
- is lawfully received from a third party without confidentiality restrictions
- must be disclosed by law or a competent authority
16. Security
We implement reasonable technical and organizational measures designed to protect the service and Customer Content.
However, no internet service can guarantee absolute security.
You are responsible for maintaining the security of your own account, credentials and connected third-party services.
You should not provide your password or authentication credentials to unauthorized persons.
17. Backups and Data Loss
We may maintain backups of application data as part of our infrastructure and security practices.
Backups are intended to support service reliability and recovery but do not constitute a guarantee that every piece of Customer Content can be restored following every incident.
You remain responsible for maintaining any independent backups of information that is important to you.
18. Suspension
We may temporarily suspend your access to Approvale where reasonably necessary to:
- prevent security threats
- investigate suspected abuse
- address a violation of these Terms
- comply with applicable law
- protect other users or the service
- address non-payment
- prevent damage to our infrastructure
Where reasonably possible, we will provide notice before suspension unless immediate action is necessary.
19. Termination
You may stop using Approvale and close your account at any time.
We may terminate or suspend your account if:
- you materially breach these Terms
- you repeatedly violate the Terms
- your use creates a security or legal risk
- required payments remain unpaid
- we are required to do so by law
- continued operation of the account is no longer reasonably possible
Where appropriate, we will provide reasonable notice and an opportunity to remedy the violation before termination.
20. Effect of Termination
After termination:
- your right to use Approvale ends
- access to your account may be disabled
- applicable paid subscriptions will no longer renew
- Customer Content may be deleted according to our retention and deletion procedures
We may retain certain information where necessary to:
- comply with legal obligations
- resolve disputes
- enforce agreements
- prevent fraud or abuse
- establish, exercise or defend legal claims
- maintain required business records
Specific data retention practices are described in our Privacy Policy.
21. Disclaimers
To the maximum extent permitted by applicable law, Approvale is provided on an "as is" and "as available" basis.
We do not warrant that:
- the service will always be available
- the service will be completely error-free
- all features will meet every individual requirement
- integrations with third-party services will always function
- data transmitted through third-party services will always be available
- the service will be suitable for every particular business purpose
You are responsible for determining whether Approvale is suitable for your intended use.
Nothing in these Terms excludes or limits warranties or rights that cannot legally be excluded under applicable law.
22. Limitation of Liability
To the maximum extent permitted by applicable law, Rafał Migda – Lore Media will not be liable for:
- indirect or consequential losses
- loss of profits
- loss of revenue
- loss of business opportunities
- loss of goodwill
- loss of anticipated savings
- loss of data where appropriate backups were not maintained
- losses resulting from third-party services or integrations
- losses resulting from unauthorized access caused by the customer's failure to protect account credentials
To the maximum extent permitted by applicable law, our total aggregate liability arising out of or relating to Approvale or these Terms will not exceed the total amount you paid to Approvale for the service during the 12 months immediately preceding the event giving rise to the claim.
For free accounts, our aggregate liability will be limited to the maximum extent permitted by applicable law.
Nothing in these Terms limits liability where such limitation is prohibited by applicable law, including liability that cannot legally be excluded or limited.
23. Indemnification
To the extent permitted by applicable law, you agree to defend, indemnify and hold harmless Rafał Migda – Lore Media from claims, liabilities, damages, losses and reasonable costs arising from:
- your unlawful use of Approvale
- your violation of these Terms
- your violation of applicable law
- your infringement of third-party rights
- Customer Content that you submit or process through Approvale
- your failure to obtain required rights, permissions or consents relating to Customer Content
This section does not apply to the extent that a claim results from our own unlawful conduct or breach of these Terms.
24. Force Majeure
We will not be responsible for delays or failures caused by circumstances beyond our reasonable control, including:
- natural disasters
- war
- terrorism
- civil unrest
- government actions
- internet failures
- major infrastructure failures
- telecommunications failures
- widespread cyberattacks
- failures of third-party providers
- power outages
- other events that could not reasonably be prevented or controlled
25. Changes to the Service
Approvale is continuously developed.
We may:
- introduce new features
- modify existing features
- remove features
- change technical requirements
- modify integrations
- change usage limits
- discontinue certain functionality
Where a material change significantly reduces the functionality of a paid service, we will provide reasonable notice where required by applicable law.
26. Changes to These Terms
We may update these Terms from time to time.
The current version will be published through the Approvale legal document system.
The effective date at the beginning of these Terms indicates when the current version became effective.
Where required by applicable law, we may notify users of material changes or request renewed acceptance.
Continued use of Approvale after the effective date of updated Terms may constitute acceptance of the updated Terms where permitted by applicable law.
27. Governing Law and Jurisdiction
These Terms are governed by the laws of Poland, without regard to conflict-of-law principles.
Any disputes arising from or relating to these Terms will be subject to the jurisdiction of the competent courts in Poland, subject to any mandatory jurisdictional rights applicable to consumers or other protected parties.
Nothing in this section limits mandatory rights that you may have under the laws of your country of residence.
28. Severability
If any provision of these Terms is found to be invalid, unlawful or unenforceable, the remaining provisions will remain in full force and effect.
The invalid or unenforceable provision will be interpreted or replaced to the extent necessary to make it enforceable while preserving its original purpose as closely as possible.
29. Entire Agreement
These Terms, together with the Privacy Policy, applicable Data Processing Agreement and any additional terms expressly incorporated into the service, constitute the agreement between you and Approvale regarding your use of the service.
If there is a conflict between these Terms and a specific written agreement entered into between you and Approvale, the specific agreement will prevail to the extent of the conflict.
